Keep the obligation traceable

Design your internal process so an invoice can be reviewed again if a provider reports that a payment was returned or otherwise not completed as expected. Preserve the original payment reference and the new information. The objective is to understand the outstanding obligation without deleting the earlier history or quietly creating a replacement invoice.

Explain the next step accurately

Decide who contacts the customer or supplier, who reviews the financial evidence and who authorises a replacement instruction if appropriate. Do not assume a returned amount automatically restores the same available balance or has a fixed resolution time. Tap Tap Go’s planned euro rails are coming soon and any eventual handling would depend on the actual programme.

Imagine this

An illustrative future scenario

Imagine a supplier invoice marked settled after a future payment record. A later provider update requires review. The finance team reopens the obligation with its history intact and agrees the next action with the supplier, rather than hiding the update in a new spreadsheet row.

Make it practical.
