Find the first actionable step
Read the explanation from the customer's starting point. Does it answer the reported question, or introduce several unrelated possibilities before reaching the task? Preserve essential conditions, but move optional background to a separate reference. The aim is not always fewer words; a necessary example may make a longer answer easier to use.
Check the customer's next move
Ask a colleague unfamiliar with the case what they would do after reading the message. If their answer differs from the intended next step, revise the order and wording. Use headings or a short sequence when the task genuinely needs several stages. This proposed programme helps support teams value understandable progress over comprehensive-looking messages that leave a reader unsure where to begin.
Hypothetical programme scene
Hypothetically, an answer to a document-label question includes a tour of every showcase feature. The reviewer keeps the naming example and result check, then links optional background separately. The customer can now act without sorting through an unrelated product overview.
