Record the meaningful stages
Distinguish a suggested contact, an accepted introduction, a qualified enquiry and a completed commercial outcome. Keep the referrer’s role clear. A shared link alone may not establish who influenced the relationship, especially when several people contributed. Use the terms of any actual referral programme rather than inventing entitlement from an informal conversation. The operational record should reflect what is known.
Maintain a respectful feedback loop
Thank the referrer where appropriate and provide a general update without disclosing private customer information. Review which kinds of introductions are useful and update the referral brief accordingly. If attribution is disputed, use the documented process rather than making an ad hoc promise. Good referral operations support trust between the business, the introduced person and the person who made the connection.
Hypothetical example
A hypothetical team records that a partner made an introduction, but the prospect is still evaluating the service. The record remains an introduced enquiry rather than a completed referral sale. Any reward or commercial entitlement is assessed under the agreed programme terms once the relevant conditions are met.
Make it practical.
