Define a routing rule

Choose a small set of enquiry categories that map to real responsibilities. Product questions, team deployments and existing-customer support may need different owners. Avoid a category list based on internal departments that visitors do not understand. Keep a fallback owner for unclear submissions. A routing system fails when everyone assumes another team is responsible for a contact that does not fit the standard options.

Preserve the original request

Pass along the submitted message, its source and any commitments already made. Do not require a prospect to repeat information simply because the organisation changed the owner. Record the handoff and make responsibility visible. If several people need to contribute, appoint one person to coordinate the response. Internal collaboration should not turn into multiple contradictory replies or silence while departments debate ownership.

Imagine this

Hypothetical example

A hypothetical enquiry concerns both a corporate deployment and a support issue. The intake owner separates the tasks internally but remains the main contact. The prospect receives one clear response identifying who will handle each part, rather than two unrelated conversations.

Make it practical.
