Understand the decision

An inactive profile can continue receiving visits long after a project ends. Decide whether it should be archived, redirected where supported, or removed. Base that choice on the value of the information, the accuracy of its claims and the likelihood that people still use the old link. Avoid leaving an expired offer looking current. If the page represents a former role or business relationship, make the status clear before inviting new enquiries.

A practical workflow

List the places the profile was shared, including printed materials, email signatures and event listings. Update the locations you control, and provide a useful next step on the retired destination if the service permits it. Review any connected forms or document folders so they do not keep collecting information without an owner. Retain records only through an appropriate business process. Finally, assign someone to check the old route after the change rather than assuming all visitors immediately switch to the new one.

Imagine this

Hypothetical example

A team ends a temporary event campaign. It replaces the profile’s expired offer with a short closure message and the current enquiry route, removes the unmonitored form and updates the website link. Visitors with an old printed QR code still receive a clear explanation.

Make it practical.
