Define the handoff package

Include the customer’s goal, segment, prior commitments, questions and agreed next step. Keep the package concise and accessible through approved systems. A raw contact record without context makes the receiving team repeat discovery and increases the chance of inconsistent promises.

Measure acceptance and delay

Record when a handoff is sent, accepted and acted upon. Distinguish incomplete records from capacity delays. If teams use different definitions of qualified or activated, resolve those differences before comparing their performance. Otherwise the handoff becomes a debate about whose metric is correct.

Review customer friction

Sample recent journeys and identify where information was lost. Ask whether customers received conflicting instructions or had to repeat documents and explanations unnecessarily. Use these observations to simplify the handoff rather than adding more fields by default. Add a receiving-team acknowledgment to the process. A record sent into a system is not necessarily a handoff completed; acceptance confirms that someone has the context, recognises ownership and knows the promised next action. Review handoff failures jointly, so the sending and receiving teams can improve the process instead of optimising competing departmental measures.

Imagine this

Illustrative operating example

Hypothetically, ten enterprise enquiries reach sales each week but four lack the intended team size and decision-maker context. Adding two relevant discovery questions may improve usefulness more than doubling the number of leads sent to the same team.

Make it practical.
