Track the useful fields
Record a unique internal reference, assigned person or team, issue date and current status. Avoid storing unnecessary sensitive data in a general inventory. Link to the approved administration process rather than copying credentials into a spreadsheet. Decide who is allowed to update assignments and how a returned or replaced card is recorded. Consistency matters more than building a complicated system.
Connect inventory to team changes
Include card assignment in onboarding and offboarding checklists. Review unassigned, damaged or missing items periodically. Confirm that the recorded person matches the actual profile destination where that association exists. An inventory can become misleading if it tracks only physical possession and ignores changes in the linked digital identity. Treat both sides of the handoff as part of the operational record.
Hypothetical example
A hypothetical company issues cards to a new sales team. Its inventory records the employee, card reference and activation check. When someone changes role, the administrator verifies the linked profile as well as updating the physical assignment, preventing a mismatch between the person and destination.
