Choose a canonical source

Designate the approved location for each document and identify its owner. Employees should know which version to share without comparing filenames in old messages. Keep public-facing documents separate from internal working drafts. If the team uses profile links to distribute materials, verify that those links reach the current approved version and do not expose internal folders or editing controls.

Make changes visible

Tell users what changed when a document is replaced, especially if the update affects pricing, scope or availability. Remove obsolete versions from the normal sharing path. Record the review date and next review trigger. A central file can still become stale if nobody is responsible for its content. The process should combine easy access with a clear obligation to maintain accuracy.

Imagine this

Hypothetical example

A hypothetical regional team keeps sending different service brochures. The business designates one approved document link, names a content owner and announces important updates with a short change note. Employees stop downloading local copies for routine sharing unless a fixed document is specifically needed.

Make it practical.
