Map the distribution trail
Keep a record of where the property information appears: website, profile, brochure, event page and partner materials. When status changes, update the maintained destination first and identify which external copies need attention. Avoid leaving a page that invites an enquiry for an option no longer offered. A clear status message is more useful than a broken link that gives no explanation.
Offer an honest next step
If appropriate, direct visitors to a current information contact or a clearly separate alternative. Do not silently replace the original property with another one under the same title. Preserve necessary internal records while removing obsolete promotional claims from active channels. Review image captions and downloadable documents as well as page text. The handoff is complete only when the responsible team knows which materials changed and which follow-up conversations may be affected.
Put the guide to work
Keep a status history for the maintained listing destination. This helps the team explain what a visitor might have seen when they first enquired. It also prevents a later colleague from treating a historical brochure as current simply because its link remains accessible in an old conversation.
Hypothetical example
A unit is no longer available, but an event QR code still points to its old brochure. The agency updates the destination with a clear status note and a current contact route. Visitors receive an accurate response instead of discovering the change after arranging a viewing.
