What the reader needs
Before sharing a document, decide what event should trigger an access review. It might be the end of a proposal discussion, a project handover or completion of due diligence. Where the sharing tool supports expiry and the use case suits it, consider that control; otherwise assign a manual review. Do not assume every service offers the same options. Explain the intended access period to the recipient so a legitimate review is not mistaken for an unexplained technical failure.
How to review it
Keep a small register of the file owner, recipients, purpose and review trigger. At the review, confirm whether the discussion is continuing, whether the document has been superseded and whether the recipient still needs access. Record the action taken. Remember that removing access does not retrieve copies already downloaded or screenshots already made. If the information would be harmful outside the intended audience, reduce the shared content and choose an appropriate controlled process from the beginning.
Hypothetical example
A partner receives a working implementation pack for a defined evaluation period. When the discussion ends, the owner reviews access and removes permissions that are no longer needed. The team retains its approved internal record and does not claim that access removal erases every copy the recipient may have made.
