Translate work into purchase patterns

Ask each role what it buys, how often and in which currencies or categories. Compare those needs with the provider's available controls and limit definitions. Find out whether limits apply per transaction, period or another basis. A large generic allowance may be unnecessary for one role, while an overly tight limit may interrupt another role's legitimate work. Design the control around an evidenced purchasing pattern rather than an employee's title alone.

Create a temporary-change process

Explain how staff request an exception, who approves it and when any temporary change ends. Keep the business reason and relevant purchase record together. Review actual use after the project or trip and restore the normal arrangement when appropriate. A control is more effective when people understand how to work within it and how to request an authorised adjustment. Otherwise, they may invent informal workarounds that are harder for finance to see and reconcile later.

Imagine this

Hypothetical example

A hypothetical production assistant normally buys modest supplies but occasionally books equipment for a major shoot. The agency defines a temporary approval process for that event instead of permanently expanding the normal allowance, giving the assistant a predictable route without weakening the everyday purchasing discipline.

Make it practical.
