Keep the original and return together

Save the purchase receipt, merchant refund confirmation and final account credit. Record the currencies and dates for all three. Ask the issuer how conversion, fees and timing apply to refunds in your programme. Do not assume the amount displayed at purchase will automatically reappear in the same form. A complete record helps distinguish a missing refund from a completed refund that needs explanation because the displayed amounts differ.

Create a question that support can answer

Provide the merchant reference and relevant masked transaction identifiers, avoiding full card details in ordinary messages. State whether you are checking status, currency treatment or an amount difference. Keep those questions separate so support can identify the right issue. If the business needs to close its accounts before the answer arrives, label the item unresolved rather than inventing an exchange-rate adjustment and treating the investigation as finished without confirming what actually occurred.

Imagine this

Hypothetical example

A hypothetical studio returns equipment bought in another currency. The refund arrives, but its account-currency amount differs from the original debit. The bookkeeper places both records together and asks for the conversion explanation, resolving the item without confusing it with an unpaid merchant refund.

Make it practical.
