Build the itinerary-based test
List airport transport, hotel arrival, meals, local travel and any event purchases. Ask the provider and relevant suppliers about payment conditions for those situations. Include the credentials and devices attendees will actually carry. A conference deployment should not rely on a successful online purchase as evidence for every travel scenario. The test needs to reflect the employee experience from departure to the final receipt submission after returning home.
Give attendees a short operating brief
Explain the approved spending scope, support contact, receipt process and alternative method for critical purchases. State how exceptions are approved and who monitors unresolved transactions. Keep the brief concise enough to use during travel and avoid filling it with marketing claims. After the conference, review where staff needed help and which controls caused confusion. That feedback improves the next deployment and provides evidence about whether the payment programme reduces or merely redistributes administrative work.
Hypothetical example
A hypothetical software company sends twelve staff to a trade show. A rehearsal identifies a hotel requirement and a missing receipt instruction. Both are resolved before departure, so the wider rollout starts with practical guidance instead of leaving attendees to discover the same issues individually at the destination.
Make it practical.
