Describe the organisation accurately

Tell the provider the organisation's legal status, purpose, location and intended collection activity. Ask what approval and documentation apply before using a general commercial checkout for donations. Keep fundraising language and the recipient identity clear. Do not assume that a payment link suitable for selling a service is automatically suitable for every charitable or community collection, especially where funds will be transferred onwards or raised for another organisation.

Explain what the donor receives

State the purpose of the collection and how acknowledgements are issued. Obtain appropriate advice before making tax-deductibility or other legal claims. Ask which records your organisation needs and what information appears on donor receipts. Provide a contact route for mistakes and questions. A transparent checkout helps a supporter understand the transaction while giving administrators enough evidence to reconcile contributions without collecting unnecessary personal details or relying entirely on informal messages from volunteers.

Imagine this

Hypothetical example

A hypothetical community organisation plans a fundraising event. Before printing a payment QR, it confirms provider support for the activity and reviews the acknowledgement wording. Volunteers then share a consistent message, avoiding unsupported claims about tax treatment or confusion about which organisation receives the funds.

Make it practical.
