Inventory the live relationships
List active customers, open opportunities, outstanding orders, unresolved support issues and prepaid commitments. Identify the operational owner for each. The transition team needs a controlled view of work in progress rather than an exported contact list with no explanation of customer status.
Design the overlap period
Define which team handles new enquiries and which resolves existing commitments. Give customers one clear point of contact throughout the change. Duplicate outreach and conflicting explanations can damage confidence even when the underlying product remains unchanged. Keep internal accountability visible without exposing organisational confusion.
Reconcile before closing
Review delivered orders, customer communications, account access and outstanding balances with appropriate commercial owners. Confirm that knowledge needed for support is retained through approved processes. End the transition only when both teams understand which items remain open and who owns their resolution. Prepare a short customer communication that explains any practical change in contact or service arrangements. Have the responsible teams review it before use so customers receive one consistent explanation rather than competing messages from the outgoing and incoming partners.
Illustrative operating example
A hypothetical handover includes 80 active customers and 12 pending orders. If the new partner receives only the customer list, those 12 orders can disappear from day-to-day attention. An order-level reconciliation provides a more reliable transition record.
Make it practical.
