Address the substance
Read the review for the specific issue rather than reacting only to its tone. Acknowledge what you can verify and explain the next step. Google’s review guidance recommends professional, relevant replies and protecting private information. Do not disclose account details or personal information to win a public argument. If the situation needs investigation, move that work into an appropriate private support channel.
Connect the reply to action
Assign an internal owner and record what needs checking. A polite public sentence is not a resolution by itself. If you identify a recurring service issue, change the underlying process and communicate what can be said accurately. Avoid promising an outcome before the facts are established. Keep the response proportionate: readers need to see that the concern is taken seriously, not an extended defence of the business.
Hypothetical example
A hypothetical customer reports an unclear onboarding process. The reply acknowledges the confusion and offers a support contact. Internally, the team reviews the instructions and discovers a missing step. The subsequent improvement is documented without publishing the customer’s private account information.
Make it practical.
