Define the display’s role

A QR or NFC identity-sharing point can be used in an organisational setting when the product setup supports the intended workflow. Decide what it is for: company information, a host introduction or a route to an enquiry. The public destination should match that purpose. Do not casually reuse an employee’s personal profile if visitors are meant to reach a shared business function.

Keep the ownership visible

Assign someone to check the displayed destination and maintain the information. If the display introduces a host, explain that relationship and review it when staffing changes. Do not imply that a profile scan automatically records arrival or grants access; event check-in and identity sharing are distinct workflows. A useful reception experience gives visitors accurate information and a clear next step without adding hidden assumptions to a simple scan.

Imagine this

Hypothetical scenario

A hypothetical studio places a profile QR near reception to introduce the team and show selected work. The display states its purpose. Visitor registration remains a separate process, so opening the profile is not mistaken for checking in or obtaining permission to enter a restricted area.

Make it practical.
