Use the original agreement

Base your next contact on what was discussed and how the recipient responded. A person who asked for a proposal differs from someone who accepted a general introduction. Avoid assuming that silence means permission for endless messages. Set an internal review point at which the owner decides whether another contact has a useful purpose. A new message should add context, not merely repeat the request more urgently.

Close the record accurately

When there is no response or no current fit, move the contact out of active opportunity management. Keep appropriate relationship context without pretending the pipeline is still progressing. If you send a final note, make it brief and pressure-free. Future outreach should have a fresh, relevant reason. A disciplined stopping rule protects your team’s time and helps the recipient retain a positive impression.

Imagine this

Hypothetical example

A hypothetical buyer receives the requested resource and a later clarification offer but does not respond. The team closes the active follow-up rather than assigning repeated calls. Months later, a genuinely relevant new capability may justify a fresh introduction, subject to the appropriate communication preferences.

Make it practical.
