Identify the purpose

Before offering a call, ask what decision the conversation will help make. A straightforward request for a document or basic explanation may not need a meeting. Complex scope, competing priorities or several stakeholders may benefit from discussion. Explain the purpose in the invitation so the prospect can judge whether to participate. Calendar activity is not the same as commercial progress.

Prepare the minimum useful context

Send a short agenda and any essential material in advance. Ask for the information needed to make the call productive, but do not turn preparation into a second application process. At the end, agree a next step or acknowledge that there is no fit. A useful discovery call can conclude with a clear decision not to proceed, saving time for both sides.

Imagine this

Hypothetical example

A hypothetical prospect asks whether a service supports a particular document format. The team answers directly by email. When the prospect later describes a multi-office workflow, the team proposes a call focused on roles, rollout constraints and the next evaluation step.

Make it practical.
