Inventory the relevant items
List profiles, physical cards, shared documents, administrative accounts and active enquiries associated with the role. Identify which items should be transferred, updated, archived or withdrawn. Avoid assuming that disabling one account completes the whole process. A public profile may still contain old company information, and an active conversation may still route to an unavailable contact.
Confirm each action
Assign an owner to every step and record completion. Test the public view after changes and check that enquiries reach the intended replacement contact. Keep any required business records through the organisation’s appropriate process. Review the departing person’s administrative responsibilities so no system is left without an authorised owner. A concise handoff checklist protects continuity by making the next responsible person visible and the current information accurate.
Put the guide to work
Ask the receiving colleague to test the public enquiry route after the handoff. Administrative completion does not always mean the customer experience works. A short test can reveal an outdated email destination or a profile message that still directs visitors to the former role holder.
Hypothetical example
A business development manager leaves while several prospects hold their profile link. The handoff updates the business contact route, reviews shared material and assigns ongoing discussions to another colleague. Prospects receive a useful response instead of reaching an abandoned inbox.
