Define the management need
List the information a manager needs to maintain team profiles, coordinate enquiries and understand activity. Keep that separate from data that belongs to a different team or is unnecessary for the task. Confirm the permissions and reporting scope available in the current configuration. Do not assume that central administration exposes the identity of every anonymous visitor or automatically provides unrestricted access to all personal information.
Explain the boundary to the team
Staff should understand which business information is managed centrally and how activity is used in operational reviews. Build a clear route for correcting records or raising questions. Where the platform’s controls do not match the desired structure, resolve the workflow before expanding use. The benefit of central visibility is better coordination, not more data for its own sake. A deliberate boundary helps the company use the feature in a way its administrators and employees can explain.
A hypothetical scene
A regional manager wants to review follow-up progress for her team. The organisation checks which records she needs and configures the available workflow accordingly. It does not treat a central dashboard as permission to inspect unrelated teams or describe anonymous profile traffic as named customer behaviour.
Make it practical.
