Preserve the meeting context
Record who met the prospect, what was discussed and which next step the prospect actually requested. A corporate team may have several people connected to the same opportunity, but the customer should not need to manage that internal overlap. Confirm whether the available workflow supports shared ownership, reassignment or only a simpler record. Where coordination is manual, designate one person to consolidate the response before messages are sent.
Separate contribution from contact ownership
The colleague who made the introduction and the colleague best placed to answer may be different people. Preserve both contributions without making both send the same sales message. Lead tracking should help the team remember the relationship and the agreed next action; it does not create permission for unrelated outreach. The practical result is a more professional experience for the prospect and a clearer account of how different team members helped the conversation progress.
A hypothetical scene
Two employees speak with a procurement manager during an event. One understands the technical question and the other arranged the meeting. Their shared record names the technical colleague to respond while retaining the introduction context, so the prospect receives one useful reply rather than two overlapping pitches.
Make it practical.
