Understand the decision
Start the handover by listing the assets the departing person administers: profiles, domains, document folders, booking pages and enquiry inboxes. Distinguish business-owned resources from the person’s own professional accounts. Name a replacement owner for each business asset and confirm that the organisation has a valid recovery route. Do not rely on a promise that the former colleague will remain available whenever a future update is needed.
A practical workflow
Complete the handover while both parties can test it. The new owner should open the relevant tools, make an authorised low-risk change and verify the public result. Review connected services and scheduled content as well as direct account access. Once continuity is confirmed, remove permissions that are no longer appropriate through the approved process. Keep a record of asset ownership and unresolved issues, and update public contact information so customers are not routed to someone who no longer handles the work.
Hypothetical example
A campaign manager leaves after training their replacement. The replacement tests the company profile, brochure folder and booking route. The team then removes the former manager’s business access and updates public contact details, while leaving the person’s independent professional profile outside the company handover.
Make it practical.
