Connect the charge to a decision-maker

Build a register with service name, business purpose, payment credential, renewal date and responsible person. Ask whether your card platform supports the controls your team needs, rather than presuming those controls exist. The important question is who can explain a charge when the original buyer is on leave. A clear owner also prevents a tool that nobody uses from surviving because nobody knows who may cancel it.

Review the service and payment together

Schedule a short review before significant renewals. Confirm active users, current price and the approved budget. If the business decides to stop, use the merchant's cancellation process and retain confirmation; separately manage the payment credential with the issuer. When a replacement owner takes over, transfer the service login through an approved route rather than sending card details through informal messages or exposing the full payment credential unnecessarily.

Imagine this

Hypothetical example

A hypothetical agency discovers three overlapping editing subscriptions. Its card records show the charges, but the register identifies who uses each tool. The agency keeps the two needed services and properly cancels the third, solving a purchasing problem rather than merely hiding a recurring payment.

Make it practical.
