Agree the reporting boundary
Work with the person responsible for accounting to define the period, timezone and transaction basis used in the review. Ask the payment provider what its dates mean and how adjustments appear. Do not assume transaction creation, completion and export dates always answer the same question. Document the chosen approach so two reviewers do not produce different totals from the same account simply because they selected different fields or report settings.
Carry uncertainty forward visibly
Prepare a short register of pending items, refunds under investigation and missing receipts, with an owner and next review date. Keep it linked to the closed-period records. When new information arrives, record the adjustment through the agreed accounting process instead of silently rewriting an old summary. This makes the financial story easier to follow and gives management a reliable view of what is confirmed, what remains unresolved and how much work the exception queue contains.
Hypothetical example
A hypothetical agency closes September while a supplier refund remains under investigation. Finance records the item in its exception register with the supporting correspondence. When the credit appears later, the team can process it consistently instead of changing September's totals without an explanation or review trail.
Make it practical.
