Compare the minimum with real usage
Ask the provider for the applicable minimum funding amount and any minimum remaining balance. Then compare those figures with your expected spending frequency. Keep product rules distinct from your own preferred buffer. A small project can become administratively awkward if the required load is much larger than its planned spending, even when the headline transaction fees appear acceptable. The issue is fit, not automatically whether the product is good or bad.
Plan for the remainder
Before funding, ask how unused money can be moved, spent or returned under the relevant terms. Record any time, fee or verification conditions. Evaluate the whole project lifecycle from initial load to final reconciliation. If several employees will use separate balances, model the aggregate amount rather than only the requirement for one person. This exposes operational needs that can be invisible in a demonstration showing a single account with a generously funded balance.
Hypothetical example
A hypothetical workshop needs modest software purchases for six temporary team members. The organiser compares individual funding requirements with the project budget and asks about remaining balances. That question helps decide whether separate credentials or another approved purchasing process better suits this short assignment.
Make it practical.
