Give finance a real sample early
Ask for a sample export with merchant, transaction identifier, dates, amounts, currencies, fees and status fields where available. Have the person who performs reconciliation review it before a wider rollout. Check whether the format preserves the information your accounting process needs and whether repeated exports can be distinguished. Do not wait for the first busy month to discover that a crucial field is visible only inside the app.
Assess repeatability rather than appearance
Run the same reporting period twice in an authorised test and ask how later changes, refunds or status updates are represented. Decide how your team will avoid duplicating records during imports. Document any manual transformation the file needs. The best outcome is a process another colleague can repeat accurately, not an impressive spreadsheet assembled once by the most technical person in the business after several hours of undocumented edits.
Hypothetical example
A hypothetical consulting firm pilots two payment tools. Both provide clear mobile screens, but only one export fits the firm's reconciliation workflow without extensive reformatting. The decision now includes the time finance spends preparing records, bringing a less visible operating cost into the provider comparison.
Make it practical.
