Classify changes by consequence
A corrected spelling, a new portrait and a revised service promise do not carry the same implications. Define which changes employees can make, which need a manager and which need a specialist reviewer. Keep the categories understandable. The goal is to direct attention toward changes that affect what the company promises or how a customer acts, while allowing routine maintenance to happen promptly.
Record decisions simply
For substantive edits, retain the proposed wording, reviewer and approval date. Provide a route for urgent factual corrections. Avoid a process in which silence is treated as approval unless that is an explicitly agreed internal rule. Review how long requests sit unresolved and whether people are bypassing the system because it is unclear. Governance works best when it helps accurate content reach the public.
Hypothetical example
A hypothetical company allows staff to correct their biographies within agreed boundaries, while product availability statements require the product owner’s review. An incorrect support email can be fixed immediately by an administrator and logged afterwards, preventing a simple error from waiting through a long queue.
Make it practical.
