Choose a useful pilot group

Select people with different roles and working conditions, rather than only enthusiastic early adopters. Include someone who works mainly from a desk, someone who meets customers and someone who handles administration. Give the pilot a clear purpose: verify setup, sharing, content accuracy and support needs. Do not treat a successful account creation as proof that the entire workflow is ready.

Define what readiness means

Document the issues found, the changes made and the remaining limitations. Agree who will support new users and how incomplete profiles will be handled. Prepare a short onboarding guide based on real questions from the pilot. Expand only when the core tasks work reliably enough for the next group. A staged rollout can still move quickly while avoiding repeated corrections across a large number of accounts.

Imagine this

Hypothetical example

A hypothetical company pilots profiles with six employees across three functions. The test reveals unclear document ownership and a confusing activation step. The team fixes both before inviting the wider organisation, reducing the need for repeated individual explanations.

Make it practical.
