Name the meeting accurately
Use a title that describes the purpose, such as an introductory discussion or project scoping call. Explain the expected duration, participants and preparation. Do not label an exploratory call as an approved consultation or confirmed service if it is only a request to discuss suitability. A clear booking description can prevent mismatched expectations before anyone opens the meeting room.
Protect the working schedule
Set availability according to the time you can genuinely support and allow preparation between appointments where needed. Check the time zone displayed to the recipient and the rescheduling route. Keep the form focused on the information required for the conversation. After booking, the confirmation should repeat the purpose and provide the actual joining details or explain how they will be supplied.
Hypothetical example
A hypothetical consultant replaces a generic “Book now” link with “Discuss your rollout — introductory call.” The page explains that no project scope is agreed during booking and asks for the main workflow question. Both parties arrive with a clearer purpose.
