Provide the relevant notes only

A follow-up assistant can help organise a conversation into actions, owners and open questions. Supply the notes needed for that task and avoid unnecessary personal detail. Ask it to mark ambiguous ownership instead of guessing. A statement that someone might send a resource is not the same as a firm commitment to deliver it by a particular date.

Confirm before sharing

Compare the action list with the actual discussion. Check names, dates and wording that implies approval. If the notes are incomplete, ask the participants to clarify through the appropriate process. The assistant’s output is a draft record, not an authoritative account simply because it has been formatted neatly.

Imagine this

Hypothetical scenario

A hypothetical meeting note says the team will explore an option. The assistant initially turns that into an implementation task. The owner corrects it to an open investigation before sharing the follow-up.

Make it practical.
