Define the task before the comparison
Choose a representative journey: create a profile, publish approved content, share it, receive an enquiry and update a document. Include the people who will perform each step. Record the effort, limitations and support required. A demonstration by the vendor is informative, but your own task test reveals whether the system fits the organisation’s actual responsibilities and working conditions.
Check the operating model
Ask who owns the data, how access changes, how content is exported and what happens when the subscription or employment relationship ends. Verify these points in current documentation rather than assuming a familiar interface behaves like another product. Compare total operating effort as well as visible features. A capable system may still be a poor fit if administration depends on one person with undocumented knowledge.
Hypothetical example
A hypothetical company evaluates two systems using the same onboarding and document-update task. One has more visual options, while the other makes team ownership clearer. The decision records the trade-off instead of declaring a winner solely from the number of listed features.
