Collect approved information

Identify the details required before publication: name, role, work contact, portrait and relevant team content. Explain which information is optional and which is managed centrally. Avoid asking new employees to invent company claims or search old presentations for approved wording. Provide the current assets and a named person who can answer questions. The setup should help the employee understand how they will represent the organisation.

Test before public use

Review the profile as an external recipient would. Check links, document access and the contact-saving experience where available. Confirm that the employee knows how to share the correct destination and where to request changes. Record completion in the onboarding process. A profile that exists but contains placeholders or private test links is not ready for a customer conversation.

Imagine this

Hypothetical example

A hypothetical new account manager receives an approved portrait request, company introduction and service overview. Their manager checks role-specific wording, and an administrator verifies public links. The employee then practises sharing the profile before attending a customer meeting.

Make it practical.
